Three individuals are needed for this task unless you feel that you can handle more than one area of transporation. CHARTER BUS COORDINATOR While we have 5 individuals who have agreed to charter a bus, we might be able to have an ORGANIZED effort in this area. I'd like to have someone contact a charter service in the state and look into the possibility of chartering buses out of major metropolitan areas. If there was a way to swing this, to make it easy for people to contact a central number, pay in advance, we could have a very large number of buses from all over California. 1. You should inquire with several companies to ascertain what they can do for us in this area. 2. Check prices from various locations and for different bus sizes. 3. Inquire as to what sort of deposit, pre-payment, and drop-dead dates are required. 4. Ask if these same buses could be utilized as shuttle buses to and from the Sacramento Metro and Sacramento Executive airports. 5. Ask if the charter company can sell the seats, or would we have to do it. 6. If we sell the seats, can you do this for several cities or would we need to find a local volunteer? (local person would probably be better) 7. There can be no financial liability on behalf of the Rally Committee, so prepayment is a must, and drop-dead dates must be established. AIRLINE COORDINATOR This person will contact several airlines that serve California destinations, and ascertain the possibility of obtaining a discount rate for people who wish to fly into the Sacramento Metro Airport for our Rally. Many of the inquiries will be the same as the Charter Bus info listed above. 1. Make your initial call to the Reservations Desk or to the Headquarters of the airline. Ask for the Group Desk. Then explain what we want: We would like to select an Airline Company who will be the "Official Airline of the 1995 2nd Amendment Rally in Sacramento". The airline must be able to offer our participants a discount over the regular rates, and they must be able to make and total the reservations for us, providing arrival and departure times for us so that we can arrange the shuttle service to and from the airport. 2. The "Official Airline..." bit might have to be toned down a little bit, as they might not want to get involved in a political activity. In this case, we agree on a discount of some sort, then promote the airline and their discount through our own grassroots network. 3. It will be important to stress the size of the 1994 Rally, and the fact that we did have people fly into the area via Commercial airlines and private aircraft. Inform the Airline Rep. that we have been working on this since last year, and that we have been actively promoting the 1995 Rally since February of this year. 4. You will need to find out how many California cities the airline serves, and obtain a list of arrival/departure times for the departure point and the Sacramento Metro Airport. 5. You will need to find out who the Commuter Airline is for the major Airline Carrier. These Commuter Airlines often serve many smaller cities and will make connections to the larger airports or fly directly to the Sacramento Airport. AMTRAK COORDINATOR This Coordinator will contact AMTRAK offices and make many of the same inquiries as listed above for Airlines and Charter Buses. 1. Determine which cities AMTRAK serves. 2. Provide departure times from these cities so that individuals will arrive at the Sacramento station at 12:00 noon or before, and then some sample departure times. 3. Can AMTRAK set up a special account for Rally participants who wish to utilize their services and then provide us with an accounting of which cities people will depart from and then a total number of Rally participants who will utilize their services? 4. Ask AMTRAK to provide us with a group discount. CONCLUSION These tasks will not be easy, and will require some social engineering on your behalf when dealing with the representatives of the Airline, Busing, and AMTRAK companies.
